Privacy Policy
Effective: November 8, 2026
This Privacy Policy explains how Spectura Ltd collects, uses and shares personal data when you use Sentia (sentia.spectura.ai), and the rights you have over that data. It is written to meet our obligations under the UK GDPR and the Data Protection Act 2018.
Who we are
Spectura Ltd, a company registered in England and Wales, is the data controller for your personal data. Questions about this policy or your data: support@spectura.com.
Information we collect
- Account data: Sentia uses your Spectura account (name, email address, organization and role). Accounts are created and managed by Spectura.
- Usage records: an audit log of actions taken in Sentia (for example connecting YouTube or posting a reply), with who did it and when.
- Public comments: Sentia analyses publicly available comments on film trailers. Commenters are shown as anonymous viewers in Sentia.
- YouTube connection data (only if your organization connects a channel): see the next section.
YouTube integration
Connecting YouTube is optional and can only be done by an owner or admin of your organization. Sentia uses YouTube API Services. With your permission it requests:
- YouTube Analytics (read-only, yt-analytics.readonly): views, watch time, average view duration, audience retention, traffic sources, devices and countries for videos the connected channel uploaded.
- Managing comments (youtube.force-ssl): to read comment threads, likes and replies on trailers, and to post, edit and delete the replies a person on your team writes and approves in Sentia. Sentia never posts, edits or deletes anything without a person clicking to do it. Sentia does not upload, edit or delete videos, change channel settings, or read private messages.
What Sentia stores:
- The connected channel's ID and name, who connected it and when, and an encrypted authorization token so the connection keeps working.
- For each reply posted through Sentia: the comment it answers, the reply's ID, who posted it and when, and the reply text (and any suggested draft) for 30 days, after which the text is deleted. IDs and who/when are kept as an audit record.
- Hand-made links between a trailer and an upload on your channel, if a manager adds them.
YouTube Analytics, comment likes and replies are read from YouTube when you open a page and kept only briefly in server memory (up to 30 minutes) to keep pages fast. They are not stored in Sentia's database, are shown only to members of your organization, and are never used in Sentia's scores or shared with other organizations. We do not use YouTube data for advertising and do not sell it.
Reply ideas and the brand-safety check are generated by Anthropic's Claude models from the comment being replied to, details of the trailer and the release date. This text is sent to Anthropic to produce the suggestion and is not used to train their models.
Sentia's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. Google's handling of data is described in the Google Privacy Policy.
Disconnecting: an owner or admin can disconnect YouTube in Sentia's Settings at any time. This revokes Sentia's access at Google, deletes the stored token and channel details, and deletes the text of replies posted through Sentia (replies already posted stay on YouTube and can be removed there). You can also revoke Sentia's access in your Google account permissions; if you do, email support@spectura.com and we will delete the stored connection.
How we use data and our legal bases
- To provide Sentia to your organization, including the YouTube features you choose to use (performance of a contract).
- To secure Sentia, prevent abuse and keep an audit trail of actions taken as your channel (legitimate interests).
- To respond to support requests (legitimate interests) and meet legal obligations (legal obligation).
Service providers
We do not sell personal data. We share it only with providers that help us run Sentia, each acting as our processor:
- Google Cloud: hosting and databases.
- Anthropic: reply ideas and the brand-safety check (Claude API). Content sent is not used to train their models.
- Google (YouTube API Services): the YouTube features described above.
We may also disclose data where required by law or to protect our legal rights.
International transfers
Some providers are based outside the UK, including in the United States. Where personal data is transferred outside the UK, we rely on appropriate safeguards such as the UK International Data Transfer Agreement or Addendum and Standard Contractual Clauses.
Cookies
Sentia uses strictly necessary cookies only: one to keep you signed in, and a short-lived one while you connect YouTube. We do not use advertising, analytics or cross-site tracking cookies.
Data retention
YouTube connection data is kept until it is disconnected. Reply text is deleted after 30 days. Account data is kept while your account is active and deleted or anonymised within 12 months of it closing, unless we must keep it longer to meet a legal obligation or resolve a dispute.
Your rights
Under the UK GDPR you have the right to access, correct or erase your personal data, to restrict or object to its processing, to data portability where it applies, and to withdraw consent where we rely on it. Email support@spectura.com; we respond within one month. You can also complain to the UK Information Commissioner's Office (ico.org.uk).
Changes
We will post any changes here and update the effective date. See also our Terms of Service.
